Shipping Policy

At XAutoLab, we ship desktop SMT pick & place machines designed for makers, small studios, and electronics labs worldwide. Because our equipment is heavy and contains sensitive components such as motors, our shipping process differs from standard international courier services. Please read this policy carefully before placing your order.


Processing Time

Orders are typically processed within 3–7 business days after payment confirmation. Additional time may be required for configuration, testing, and quality inspection to ensure your machine is ready to use upon arrival.


How Our Shipping Works

Our pick & place machines contain motors with magnetic components and therefore cannot be shipped via standard express couriers (such as daily FedEx or DHL flights). We use commercial cargo freight, which involves the following steps:
1.Inland Transportation: After leaving our factory, the machine is transported to the port city via ground transportation due to the magnetic nature of the motor components.
2.Magnetic Inspection & Cargo Booking: The machine must pass a mandatory magnetic inspection before it can be loaded onto a plane or vessel. We then book cargo space on commercial flights or ships. Please note that commercial cargo flights typically operate only 1–2 times per week, so there may be a brief wait before the next available departure after your order is processed.
3.International Transit: For air freight, once on the plane, the flight itself takes only 1–2 days. For sea freight, ocean transit takes an additional 15–20 days.
4.Customs Clearance & Local Delivery: Upon arrival in your country, our logistics partner handles the customs clearance process. A local tracking number will only be generated after customs clearance is complete. After clearance, a local courier will deliver the machine to your door.


Shipping Methods & Estimated Delivery Times

All delivery times below are estimates only and are not guaranteed. Actual delivery may vary due to customs clearance schedules, cargo availability, carrier delays, public holidays, or other circumstances beyond our control. XAutoLab shall not be held liable for delays caused by such factors.

1. Air Freight — Machines (Recommended)

Estimated Delivery Time: 20–30 days from the date of dispatch.
Covers inland transport, magnetic inspection, cargo booking, international air transit, customs clearance, and last-mile delivery.

2. Sea Freight — Machines (Most Cost-Effective)

Estimated Delivery Time: 40–50 days from the date of dispatch.
Same process as air freight, with ocean transit (15–20 days at sea) replacing the air leg.

3. Standard Air Shipping — Small Parts & Accessories

Estimated Delivery Time: 15–20 days.
Small parts and accessories (such as nozzles, feeders, and stencil printers) are shipped via standard commercial courier (e.g., FedEx, DHL, UPS).
If you order a machine and accessories together, some smaller items may be shipped separately using this method.
Important Notice on Customs Fees for Accessories: Small parts shipped via commercial courier are likely to be subject to import duties and customs fees upon arrival, depending on your country's import regulations. These charges are the sole responsibility of the buyer and are not included in the product price or shipping fee. Duties & Taxes — DDP Service for Machines

For most destinations we ship to, machine orders are shipped under DDP (Delivered Duty Paid) terms. This means all international freight, customs clearance, and import duties are covered on our end — the price you pay is the final price, with nothing extra due upon delivery.
Please note the following:
DDP terms apply to machines only. Small parts and accessories shipped via commercial courier are not covered under DDP and may incur separate customs charges as described above.
DDP pricing is calculated based on prevailing tariff and duty rates at the time of order. In the event of significant changes to international trade regulations or tariff policies (including but not limited to changes in import duty rates), XAutoLab reserves the right to contact the customer to discuss revised shipping terms prior to dispatch.
If DDP service is not available for your specific country or region, we will contact you before shipment to discuss alternative arrangements.


Tracking Your Order

Because we manage customs clearance through our own logistics partners, a tracking number will not be available immediately upon dispatch. A local tracking number will be provided once the shipment has arrived in your country and successfully cleared customs. We will proactively notify you by email when your order is dispatched and again when a tracking number becomes available. We appreciate your patience during the transit period.


Damaged or Missing Items

We pack all machines securely to prevent damage during transit. If your order arrives damaged or with missing items, please contact us within 48 hours of delivery with photos or videos of the packaging and the affected items so we can assist you promptly.
This timeframe does not affect any statutory rights you may have under applicable local consumer protection laws.


Limitation of Liability

XAutoLab shall not be liable for any loss, damage, or additional costs arising from delays in customs clearance, changes in international trade regulations, force majeure events, or any circumstances beyond our reasonable control. XAutoLab reserves the right to modify this shipping policy at any time in response to changes in logistics conditions or regulatory requirements.
